CASABLANCA BANQUET HALL CLIENT AGREEMENT
This Agreement is entered into between Casablanca Banquet Hall, hereinafter referred to as "CBBH", located at 1682 Monterey Highway, San Jose, California and the Client who digitally accepts this Agreement through the Casablanca Banquet Hall website booking form. By electronically signing and submitting the Agreement, the Client agrees to all policies, terms, and conditions stated herein.
PACKAGE SERVICES
Client acknowledges that they have selected an event package through the Casablanca Banquet Hall booking portal and that all services included in the selected package are outlined in the corresponding Package Addendum.
Casablanca Banquet Hall agrees to provide only the services listed within the selected package unless additional services are agreed to in writing.
FINAL GUEST COUNT POLICY
Client agrees to submit a Final Guaranteed Guest Count no later than fourteen (14) days prior to the scheduled event date.
The Final Guaranteed Guest Count will be used for all staffing, catering, seating, layout, and service preparation.
Casablanca Banquet Hall shall not be responsible for providing additional seating, meals, staffing, or service for any guests exceeding the Final Guaranteed Guest Count.
Client agrees to assume full financial responsibility for all confirmed guests listed regardless of actual attendance.
Additional guests may result in additional per guest charges.
PAYMENT TERMS
A non-refundable Rental Deposit is required to reserve the event date and will be applied toward the total contract amount.
A refundable Security Deposit is also required at the time of booking.
The remaining balance is due no later than thirty (30) days prior to the scheduled event date.
Failure to submit final payment by the due date may result in cancellation of the event without refund of deposits.
A late payment fee of $250 per day will apply for any unpaid balance after the due date.
If payment is not received within five (5) days after the due date, CBBH reserves the right to release the reserved event date and cancel the Agreement without refund.
DAMAGE AND LIABILITY
Client accepts full financial responsibility for any damage to the venue, furnishings, equipment, or property caused by the Client, guests, or vendors during the event.
Repair or replacement costs will be deducted from the Security Deposit. Any costs exceeding the Security Deposit amount will be billed directly to the Client.
Client agrees to provide proof of general liability insurance in the amount of $1,000,000 naming Casablanca Banquet Hall as additional insured no later than thirty (30) days prior to the event date.
Except in cases of proven negligence by CBBH staff, Casablanca Banquet Hall shall not be held liable for any personal injury, loss, or damage to property occurring during the event.
BAR SERVICES
Licensed bartenders will be provided by CBBH. Outside bartenders are not permitted.
Bar Setup includes bar tables, serving stations, and bartender staffing.
Client is responsible for providing alcohol, beverages, mixers, ice, garnishes, cups for soft drinks, and any specialty bar ingredients unless otherwise included in writing.
Bar operation is limited to five (5) hours unless additional time is purchased.
Bar service will conclude one (1) hour prior to the scheduled event end time unless otherwise approved.
Outside alcohol consumption in the parking lot or exterior areas is strictly prohibited.
VENUE ACCESS AND VENDOR POLICY
Vendor load-in may begin up to six (6) hours prior to the scheduled event start time unless otherwise approved by CBBH.
All vendor breakdown must be completed within one (1) hour after the event concludes.
Additional time required for vendor load-out must be approved in advance and may incur an additional fee.
All vendors must provide proof of insurance no later than fourteen (14) days prior to the event date.
Vendors failing to provide required documentation may be denied access to the venue.
All decorations must be pre-approved by CBBH management. No stapling, taping, drilling, or alteration of venue property is permitted.
PLANNING REQUIREMENTS
Clients agree to comply with the planning and coordination timeline established by Casablanca
Banquet Hall including menu selection deadlines, design approvals, final walkthrough scheduling, and final timeline submission.
Failure to comply with planning deadlines may limit available customization options.
EVENT TIMELINE AND OVERTIME
Venue rental is based on the agreed event start and end time submitted through the booking form.
Guests must vacate the premises promptly at the scheduled end time.
Overtime will be charged in fifteen (15) minute increments and may be deducted from the Security Deposit or billed directly to the Client.
CANCELLATION AND RESCHEDULING
All cancellations must be submitted in writing.
Rental Deposits are non-refundable.
One (1) rescheduling request may be granted at the discretion of CBBH based on availability and may be subject to updated pricing.
In the event of unforeseen medical emergencies, military deployment, or immediate family death,
CBBH may offer rescheduling without penalty upon written documentation.
FORCE MAJEURE
Casablanca Banquet Hall shall not be held responsible for cancellation due to circumstances beyond reasonable control including but not limited to acts of God, fire, flood, earthquake, government mandates, pandemic, or extreme weather.
In such cases, both parties will work in good faith to reschedule the event to a mutually agreeable future date.
GENERAL TERMS
Client agrees to designate a responsible event representative who will remain sober and available for communication throughout the event.
Client acknowledges that children must be supervised at all times.
Confetti, fire shows, outside sparklers, or unauthorized equipment are not permitted without prior written approval.
Any changes to this Agreement must be made in writing and agreed upon by both parties.
This Agreement shall be governed by the laws of the State of California.
